Let’s dive into how to create a wedding day timeline that’ll keep your celebration flowing smoothly.

Wedding Day Timeline: Ceremony And Reception At The Same Location

If your ceremony and reception are happening at the same venue, here’s a streamlined wedding day timeline to keep everything on track:

1. 2.5 Hours Before The Ceremony: Prep Time

We kick things off 2.5 hours before your ceremony. This is when we’ll capture those essential wedding details—think dress, shoes, and jewelry. Plus, we’ll photograph some fun, relaxed photos of you and your bridal party in your stylish satin pajamas with a glass of champagne. And then, it’s time to get you dressed and ready for the big moment!

2. 1.75 Hours Before The Ceremony: Bride And Bridesmaids Photos

Next up, we’ll do a fabulous photo session with the bride and her bridesmaids. We’ll capture the laughter, the love, and those special moments before you walk down the aisle.

3. 1.25 Hours Before The Ceremony: Groom And Groomsmen Photos

While the bride and bridesmaids are getting their photos done, it’s time for the groom and his groomsmen to shine. We’ll take some classic shots and candid moments with the guys.

4. 45 Minutes Before The Ceremony: Ceremony And Reception Details

Before the ceremony begins, we’ll take detailed photos of your ceremony and reception setups. This includes capturing the beautiful décor, floral arrangements, and any personal touches that make your day unique.

5. Ceremony Time

It’s showtime! The ceremony is the heart of your day, and we’ll be there to document every heartfelt moment.

6. Immediately After The Ceremony: Family Photos

Once the ceremony concludes, we’ll start with immediate family photos. This usually takes about 10-15 minutes. We’ll also take any extended family photos you’ve requested. For extended family formals, aim for no more than 5-6 different groupings, each taking around 2-3 minutes.

7. 20 Minutes After The Ceremony: Wedding Party Photos

After family photos, we’ll gather your full wedding party for some fun, dynamic shots. This usually takes about 20 minutes or less, so you’ll have plenty of time to enjoy your day.

8. R&R Before the Reception

Here’s a tip: take 15-20 minutes to enjoy some quiet time together before your reception. This is your moment to relax and soak in the joy of the day. The only thing that might cut into this time is an extensive extended family photo list.

9. Grand Entrance

It’s time to make your grand entrance! This is typically followed by either your first dance or a welcome toast. Guests will be eager for something to happen, so don’t just walk in and sit down—create a moment that kicks off the festivities!

10. Sunset Photos

Plan for sunset photos about 30-45 minutes before the listed sunset time. This is a magical time for photos, so don’t adjust this timing—it’s set in stone.

11. Toasts

Toasts are best scheduled after your first or second course. This avoids disrupting the dining experience and keeps the flow of your reception smooth.

12. Parent/Specialty Dances

Get your dance floor started with parent or specialty dances. This is a great way to ease into the party and get your guests on the dance floor.

13. Cake Cutting

Allow your guests some time to digest their meal before cutting the cake. We recommend doing this about 45 minutes to an hour into the dancing. If you haven’t already done a thank you toast, this is a perfect moment to express your gratitude.

14. Tosses

Once the cake is cut and guests have had a chance to enjoy a sweet treat, it’s time for tosses—bouquet and garter tosses are classic favorites.

15. Dance On!

With everything in place, let the dancing begin! Enjoy every moment and let loose on the dance floor with your friends and family.

Wedding Day Timeline: Ceremony and Reception at Different Locations

If your ceremony and reception are at different venues, follow this wedding day timeline to ensure everything flows smoothly:

1. 2.5 Hours Before The Ceremony: Prep Time

Just like before, we start 2.5 hours before your ceremony to capture wedding details and fun pre-wedding shots and get you dressed and ready.

2. Wedding Party Photos

If possible, we might fit in some wedding party photos before heading to the ceremony location. This depends on your getting-ready location and timing.

3. Travel To Ceremony

You may need to arrive to your ceremony location 45-60 minutes early. Make sure to confirm the arrival time with the venue to avoid any hiccups. Make sure to add 15 minutes to the overall drive time to allow for load in/out and potential traffic light delays. 

4. Ceremony Time

The ceremony is the highlight of your day, and we’ll be there to document every special moment.

5. Immediately After The Ceremony: Family Photos

Right after the ceremony, we’ll take immediate and extended family photos. Just like with a single-location event, keep the extended family photos to a minimum for a smoother experience.

6. Travel To Reception

Travel to your reception venue and join the cocktail hour if it’s happening at this time.

7. Reception Photos

Once at the reception, we’ll start with groom and groomsman photos, allowing the bride and bridesmaids some time for touch-ups. Then, we’ll capture full wedding party and bride/bridesmaids photos.

8. R&R Before the Reception

Again, it’s key to take 15-20 minutes to enjoy some quiet time together. Based on your extended family photo list, this time might be slightly reduced.

9. Grand Entrance

Make your grand entrance with your first dance or a welcome toast, creating an exciting moment for your guests.

10. Sunset Photos

Schedule sunset photos 30-40 minutes before sunset. This timing is crucial for the best results.

11. Toasts

Toasts should happen after your first or second course to keep the dining experience uninterrupted.

12. Parent/Specialty Dances
